Privacy Policy

Last updated: 23 April 2026

Gmail Sense is built privacy-first, by design.

Every single thing the extension does — reading your inbox, composing emails, scheduling, sequencing — happens entirely inside your own browser, on your own device. We have no server that receives your emails. We store no Gmail addresses. We see nothing. Closing the Gmail tab is all it takes to instantly stop the extension from doing anything at all.

We never touch your email data — here is exactly why you can trust that

  • Your emails never leave your device. Email bodies, subjects, thread content, and recipient addresses are read locally by the extension inside your browser — they are never transmitted to, stored on, or processed by any server we own or operate.
  • We do not store your Gmail address. We have no database of users. Your Google account identifier is used only for OAuth authentication within Chrome and is never sent to our systems.
  • Closing Gmail stops everything immediately. The extension is a browser extension — it only runs while Gmail is open in your browser. The moment you close or navigate away from the Gmail tab, all extension activity stops instantly. There is no background server continuing to process your data.
  • Sending and scheduling are direct. When you send an email or schedule one, the extension calls the Gmail API directly from your browser to Google's servers. We are not in the middle. Your email goes from your browser to Google — we never see or relay the content.
  • No account. No profile. No tracking. We do not create an account for you, build a profile of your email behaviour, or track anything about how you use the extension. There is nothing to delete because we never collected it.

Google API Services — Limited Use Disclosure

Gmail Sense's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

  • We use data obtained from Google APIs only to provide and improve Gmail Sense's features directly to you — for no other purpose.
  • We do not sell your data or any information derived from Google API access to any third party, ever.
  • We do not useyour data for advertising, profiling, or any purpose unrelated to the extension's core features.
  • We do not allow any human at our company to read your email content. Email data is accessed only by the extension code running in your own browser.
  • We do not transfer your data to third-party analytics platforms, marketing services, or data brokers.

Your Google Data — Summary of Our Commitments

  • What we collect: Only what is necessary to provide reply tracking, personalized sequences, and scheduling — accessed through standard Gmail API scopes.
  • How we use it:Exclusively to provide and improve the extension's user-facing features. Period.
  • How we protect it:All processing occurs on your device using Chrome's secure local storage and encrypted direct API calls to Google.
  • Who can access it: Only you (through your browser). No human employee, no database, no third party.
  • Will we sell it: No. Never. This is prohibited by the Google API Services User Data Policy and our commitment to you.

1. Introduction

Gmail Sense ("we", "our", or "the Extension") is a Chrome browser extension that integrates with Gmail to provide reply-status tracking, email reading, sending, scheduling, and personalized email sequence features. Privacy is not an afterthought for us — it is the foundation the extension is built on.

This Privacy Policy describes what information the extension accesses, how it is used, and the technical architecture that ensures your data never leaves your device. By installing or using Gmail Sense, you agree to this policy.

2. Everything Happens On Your Device

This is the most important thing to understand about Gmail Sense. The extension is a browser extension — it is code that runs inside your Chrome browser, inside your Gmail tab, on your computer. It is not a web app with a server that mirrors your inbox.

When the extension reads your emails to detect reply status, extracts names for personalization, composes a sequence, or schedules a send — all of that logic executes locally in your browser. The data it reads stays in your browser. When a scheduled email fires, your browser calls the Gmail API directly and the email travels from your browser to Google. We are not in the middle at any point.

This also means the extension is inherently transient. Close the Gmail tab and the extension stops working immediately — there is no daemon running in the background on our side, because there is no "our side" involved in processing your data.

3. What the Extension Accesses

To deliver its features, Gmail Sense accesses the following data from your Gmail account via the Google Gmail API — all processed locally in your browser:

  • Email Metadata: Subject lines, timestamps, thread IDs, message IDs, and labels — used to display reply-status badges in your inbox.
  • Sender and Recipient Information: Email addresses and display names — used to detect conversation participants and extract first names for personalization. Never stored on our servers.
  • Email Body Content: Message bodies are read locally in your browser for reply-status analysis and name extraction. Email content is never transmitted to our servers.
  • Thread Structure: The order and relationships between messages in a thread, used to determine conversation state.
  • Account Identity: Your Google account identifier — used for OAuth authentication only. We do not store your Gmail address.

4. Features and How They Work

Each feature the extension provides, and exactly how it handles your data:

  • Reply Tracking: Reads thread metadata locally to show reply-status badges in your inbox. Nothing is sent to our servers.
  • Email Reading & Analysis: Reads email headers, thread structure, and message content locally in your browser to surface actionable inbox insights.
  • Sending Emails on Your Behalf:When you initiate a send, your browser calls the Gmail API directly. The email travels from your browser to Google's servers. We are never in the relay path.
  • Personalized Email Sequences: Templates are composed in your browser. The {{name}} placeholder is replaced with the recipient's first name locally before sending. This substitution never leaves your device.
  • Scheduling:Scheduled send jobs are stored in Chrome's local storage on your device. When the scheduled time arrives, your browser fires the Gmail API call directly. We have no visibility into your scheduled jobs.
  • Follow-Up Tracking: Monitors thread timestamps locally to surface unanswered conversations. No thread data is shared with us.

5. Permissions We Request

Gmail Sense requests the following OAuth scopes. Each permission is necessary for a specific feature and is not requested beyond what is required:

Permission ScopeWhy We Need It
gmail.readonlyRead email threads, metadata, sender/recipient info, and body content locally to power reply tracking, follow-up detection, and name extraction.
gmail.sendSend emails on your behalf when you use the Sequence Sender or any compose feature. Emails are sent directly from your browser via Gmail's API — we do not relay them through any server we operate.
gmail.modifyRequired to schedule and queue outgoing messages within Gmail, and to update thread labels for tracking purposes.
identityAuthenticate your Google account securely via OAuth 2.0 inside Chrome. We never see or store your password.
storageStore your extension preferences, sequence configurations, and scheduled job state locally on your device in Chrome Storage. This data never leaves your browser.

6. What We Do Not Collect or Store

To be completely explicit, here is what we do not have:

  • We do not store your Gmail address or any Google account identifier
  • We do not store email subjects, bodies, or any message content
  • We do not store the names or email addresses of your email contacts or recipients
  • We do not log your inbox activity, open times, or usage patterns
  • We do not store your scheduled send jobs, sequence configurations, or send history
  • We do not operate an analytics platform or collect usage telemetry
  • We do not have a database of users — we literally do not know who uses this extension

7. Local Storage on Your Device

The only data the extension persists is stored locally in Chrome's built-in storage on your device. This includes:

  • Your extension preferences and settings
  • Active sequence job queues and scheduled send times
  • Send history for sequences currently in progress

This data is entirely on your device. We cannot access it, read it, or delete it remotely. Uninstalling the extension clears all locally stored extension data from your browser.

8. Data Sharing and Third Parties

We do not sell, rent, trade, or otherwise share your personal data or any data accessed via Google APIs with any third party. Period.

The only external service the extension communicates with is:

  • Google Gmail API — your browser calls this directly to read email data and send emails. This is governed by Google's Privacy Policy.

We do not integrate with advertising networks, analytics platforms, or any third-party data brokers.

9. Data Protection and Security

We implement comprehensive security procedures to protect any data that comes into contact with our systems:

  • On-device processing: All email data processing occurs locally within your browser using encryption and secure local storage APIs provided by Chrome.
  • No transmission of email content: Email bodies, subjects, and sensitive personal information are never transmitted to our servers or any third-party service.
  • OAuth token security:Google authentication tokens are managed securely by Chrome's built-in OAuth flow and are never exposed or logged by our systems.
  • Secure API communication: Direct API calls from your browser to Google use industry-standard HTTPS encryption (TLS 1.2+) to protect the integrity and confidentiality of API communications.
  • Local storage encryption:Chrome's storage APIs provide built-in protection for locally stored extension preferences and configuration data.

10. Data Retention and Deletion

Because Gmail Sense operates entirely on your device and we do not store any Google user data on our servers, data retention and deletion is straightforward:

  • We retain nothing: Gmail Sense does not store, archive, or retain any of your email data, Gmail address, contact information, or personal data on any server we own or operate. Period.
  • Local data retention:The extension stores preferences, sequence configurations, and scheduled job state only in Chrome's local storage on your device. This data persists only until you uninstall the extension or manually clear your Chrome cache.
  • Scheduled jobs: Scheduled send jobs are stored locally on your device using Chrome Storage. When the scheduled time arrives and the job fires, the local record is cleared. If you uninstall the extension, all scheduled jobs are deleted immediately.
  • Automatic deletion on uninstall: When you uninstall Gmail Sense from Chrome, all locally stored extension data is automatically deleted. There is no data we can delete for you because we never stored any.
  • User-initiated deletion:You may delete all locally stored extension data at any time by going to Chrome Settings > Privacy and Security > Clear browsing data > select "Cookies and other site data" and clear data for all time, then uninstall the extension.

11. Your Privacy Rights and Controls

You have full control over the extension's access at all times:

  • Stop instantly: Close your Gmail tab. The extension immediately stops all activity.
  • Pause the extension:Disable it in Chrome's extension manager at any time without uninstalling.
  • Revoke Gmail access: Visit myaccount.google.com/permissions and remove Gmail Sense's OAuth access. This immediately prevents the extension from accessing your Gmail account.
  • Remove all local data: Uninstall the extension from Chrome to clear all locally stored extension data from your device.
  • No account to delete: Because we never created an account for you or stored your data, there is nothing on our end to delete or request.

12. Prohibition on Sale of Data

Gmail Sense will never sell your personal data or any data accessed through Google APIs. This prohibition is absolute and applies to all circumstances:

  • We will not sell your email addresses, contact information, or any personal identifiers.
  • We will not sell email metadata, subject lines, or thread information.
  • We will not sell usage data, preferences, or any inferences derived from your email activity.
  • We will not transfer such data to data brokers, information resellers, or any third party for compensation or barter.
  • This prohibition is independent of any business model changes or acquisition of our company.

Any violation of this commitment would be a breach of the Google API Services User Data Policy and would result in immediate termination of our use of Google APIs.

13. Children's Privacy

Gmail Sense is not directed at children under 13. We do not knowingly collect any information from children. If you believe a child has used this extension, please contact us and we will assist in removing any locally stored data.

14. Changes to This Policy

We may update this Privacy Policy from time to time. The "Last updated" date at the top of this page will reflect the most recent revision. We encourage you to review this policy periodically. Continued use of the extension after changes constitutes acceptance of the revised policy.
